Barefoot Ownership Flexibility

Barefoot Resort offers owners tremendous flexibility on their deeded vacation time. Many different options are available through the internal exchange program. The following information has been prepared to use as a reference guide for Barefoot Resort Owners. It outlines the policies and guidelines that owners need to follow to maintain fair and equitable usage.

Our hope is to make ownership at Barefoot Resort simple to understand, and easy to use. The following information should answer most questions, but if further clarification is needed, please do not hesitate in calling the resort.

 Internal Bank/Release

There is no cost to internally bank or release your week, however to retain your unit week for use at Barefoot, you must release it at least 14 days prior to the start date and/or maximum of one year prior to the start date.

When you internally bank/or release your week, or a portion of your week, you will have those days to use during the applicable calendar year in the same unit type and season as your deeded week.  All Internal Exchange Requests are handled on a first come – first serve space available basis.  The cost to make the new reservation against owner time is $50 per reservation. 

Once an owner has requested to Bank/Release their deeded week, that specific unit/week is no longer available to the owner. The Barefoot Resort cannot guarantee that an owner’s deeded week will be available for use if that owner decides they want it back for that specific year as it may already be assigned to another owner.  

You DO NOT need to go through RCI to exchange into your home resort. If you bank your week with RCI and exchange it back into Barefoot Resort, you will pay the RCI domestic exchange fee. Keep in Mind if using your time here at Barefoot Resort it must be used within the calendar year (January 1 – December 31).

For example:  If you give up a week, your 7 day usage must be used during that same calendar year.  

Internal Exchange ~ Same Week, Same Unit Type

If you are requesting an Internal Exchange of a week in the same unit type (Studio, 1, 2, 3 bedrooms, or cabin) and season (Super red, red, white, and blue) as your deeded week, you are welcome to make that request at any time within the calendar year. There is a $50 Internal Booking Fee which must be paid at the time of booking.

For those who own a 2 or 3 bedroom at the Vista Peak building which includes a studio lockout, your options are even greater. You may split the units giving you two (2) exchangeable units (Each subject to the $50 Internal Exchange booking fee). The 2 bedroom you own consists of a 1 bedroom and an adjourning studio lockout; 3 bedrooms consist of a 2 bedroom and adjourning studio lockout. PLEASE REMEMBER if you wish to upgrade, you can do so only 14 days prior to your desired arrival date (See section on unit/season upgrades). With lockout units you can even bank one side with RCI to travel to a different RCI Resort and save the other side (Unit) to use at Barefoot Resort yourself, or use within the Barefoot rental program or participate in the Internal Exchange Program.

If downgrading to a less valuable time, or smaller unit, an upgrade fee will NOT apply, and you can call and check availability at any time. You would only have the Internal Exchange Booking Fee of $50 when making a reservation for your alternative usage.

You can upgrade to a larger unit size or higher season for an additional fee (See Internal Exchange – Unit Upgrades & Season Upgrades).

 Internal Exchange ~ Splitting Your Owner Week

An owner is not necessarily bound by the week they have purchased. By releasing your week to the resort at least 14 days prior to the start date of your week, you also have the option to split your week into two segments. This means an owner could visit Barefoot Resort twice in a year on their owner usage time rather than just once during their deeded owner week. An owner may internally bank either segment of their split week. When making a reservation against either segment, an “Internal Exchange Booking Fee” of $50 per segment will apply. This fee is designed to cover any additional costs associated with providing the flexibility option and for additional cleaning costs resulting from 2 usages.  Please keep in mind that we do have minimum stay requirements. For each 7 usage days you can use 2 weekend nights (Friday & Saturday) and 5 week nights (Sunday – Thursday) within the same season your ownership week falls (Super red, red, white, and blue).

            For example: If an owner owns B20 (1 bedroom) week 15 (Blue week in April) and would like to split their time (one-3 day stay and one-4 day stay OR one-5 day stay and one-2 day stay), they can exchange for another 1 bed unit in a blue week. A $50 Internal Exchange Booking Fee will apply for EACH reservation. If you split your week you would have 2 Internal Exchange Booking Fees of $50 (Maximum 2 segments not to exceed 7 days total usage)

Internal Exchange ~ Unit Upgrades & Season Upgrades

 ***Unit and season upgrades can only be processed 14 days or less prior to a requested arrival date.

            Upgrades to a larger unit than your deeded week or a more valuable season (Super red, red, white, and blue) are possible but can only be scheduled 14 days prior to the date of arrival. A $50 Upgrade Fee will apply for each unit and size upgrade step.

                        For example: If upgrading from a 1 bedroom blue week, into a 3 bedroom red week, the fees would be $50 for the Internal Exchange Booking Fee, plus $100 (2 steps up) for the Size Upgrade Fee (1 bedroom deeded week) to a 3 bedroom, plus $100 (2 steps up) for the Season Upgrade Fee (Blue season owned) to a red week, for a total of $250 in Exchange and Upgrade Fees.

            For example: If upgrading from a 2 bedroom red into a 3 bedroom super red week, the fees would be:  $50 Internal Exchange Booking Fee, plus $50 Unit Upgrade Fee to go from a 2 bedroom to a 3 bedroom, plus $50 Season Upgrade Fee to go from a red week to a super red week. Total fees would be $150.

The Barefoot Resort cannot guarantee availability to accommodate upgrade unit or season requests. The staff can inform you as to the extent of availability but cannot make any guarantee the space will be available until two weeks prior to your requested check-in date to meet booking requirements. All upgrade requests are on a “First come, first serve” basis.

If downgrading to a less valuable time, or smaller unit, an upgrade fee will not apply. You would be responsible to pay the $50 Internal Exchange Booking Fee per reservation (Maximum 2 segments per week banked). 

Owner Bonus Time

            The Barefoot Resort has an owner program called Bonus Time. Bonus Time is offered only to those who are owners at the Barefoot Resort. It is a special discounted nightly rate at Barefoot Resort above and beyond the owner’s owned time. Bonus Time rental is not deducted from the owner’s owned time. Bonus Time is also not subject to owner time restrictions, meaning is an owner owns in a blue season they are not restricted to a blue week Bonus Time reservation.            

The Barefoot Resort has minimum stay policies which are listed on the Rate Chart and they also apply to Bonus Time reservations. Bonus Time can only be booked 14 days or less from the requested arrival date and is based on availability.  The Bonus Time reservation must be paid at the time of booking. If you cancel your Bonus Time reservation, the amount is non-refundable.

            An owner may reserve only one (1) Bonus Time unit at a time. Bonus Time may be utilized by an owner’s immediate family members (Parents, or children, minimum 21 years old). At Barefoot Resort all reservations must paid 100% in advance.  If cancelled more than 14 days prior to the reservation start date, all funds will be refunded except one night.  If cancelled 14 day or less from the start date, 100% of the funds will be forfeited.  Bonus Time rates are considerably less than the Barefoot Resort published rates. Current 2013 rates for Bonus Time are as follows: Studio $80 (minimum one night), One- Bedroom $90, Two- Bedrooms $95, Three- Bedrooms $105, (minimum two nights) and the Cabin $125, (minimum three nights), plus 5.5% sales tax. These rates are subject to change. Bonus Time rates are also listed on the website; www.barefootresort.com .

            Availability for Bonus Time is often limited since it may only be reserved 14 days or less prior to the arrival date on a space available basis. An owner can call at any time to check on availability to get a feel for the likelihood of availability but Bonus Time can only be reserved 14 days or less prior to the date of arrival.

Rates and Discounts

      An owner is always welcome to use Bonus Time but if the owner wants to be guaranteed a unit for a specific date outside of their allocated owner usage, it is recommended that an owner consider making a regular reservation at the published Barefoot Resort nightly rate less a 25% discount per night; just for being an owner at Barefoot Resort. These reservations are subject to the same policies as all other reservations.

            Barefoot Resort offers nightly and weekly lodging to Barefoot Resort owners and to the general public. Published rates, available discounts and policies are available by request or can be found on our website; www.barefootresort.com .

 Maintenance Fee Policy

            The Barefoot Resort has grown to over 950 owners. Management must enforce policies to insure fair and equal treatment for all owners.

            Maintenance Fee policies are as follows:      

     1. Before an owner banks their week with RCI, that week’s maintenance fee(s) must be paid or prepaid. In other words, if banking a future year’s week, the maintenance fee must be prepaid before that year’s week may be banked with RCI.

For Example: If banking a 2013 week(s), the 2013 maintenance fee(s) must be prepaid even if the maintenance fee for 2013 has not yet been processed on your maintenance fee account. If paying a future year’s maintenance fee, use the amount paid from the past year and if an increase in the amount occurs, Barefoot will invoice you for the difference. If you are unsure of the amount please call us on the toll-free line, (800)424-0225. Thank you for understanding that this policy must be enforced to protect all owners.      

  1. Owners can only use their deeded week, internal exchange usage or Bonus Time if Maintenance Fees are current.

    3.  If Maintenance Fees are more than one (1) year in arrears, the Board of Directors has instructed the resort manager to place the associated week(s) in the rental pool. Any revenues will remain with the Barefoot Resort Home Owners Association. 

Each year Maintenance Fee invoices are sent in mid-November for the next calendar year and are due January 1st.  Maintenance Fee payments not received by January 1st will be subject to a late fee of at least $50 for each delinquent week. The Barefoot Resort may also charge interest on the outstanding balance at a rate of 1.5% per month. Upon written request by an owner, the accounting department has approved alternate monthly, quarterly or semiannual payment plans for owners who are experiencing temporary financial challenges. If Maintenance Fees remain unpaid for an extended period, the Barefoot Association may submit the account to a collection agency and/or file a foreclosure action against the delinquent owner and additional fees will be assessed to the delinquent account.

You may make your Maintenance Fee payment, by sending a personal check or money order, or you may also call and pay it over the phone with a credit card. Please be advised, Barefoot Resort does not accept American Express.

In-Pool Rental Program

             If you are unable to use your week, you might consider putting it into the Barefoot Resort In-Pool Rental Program. Please do not assume that we know you want your week rented, even if you have done so in past years. We must have a signed rental agreement for each week that is going to be in-pooled and a new one for every year. You may call the resort to request an In-pool Rental Agreement, or you may log onto the “Owners Corner” on our website, (www.barefootresort.com) and print an agreement from there. Also, we have included a copy at the end of this Handbook which you can make a copy of and retain the original for future years.

            For best results: In-pool your time early because condo rentals usually are not rented at the last minute. We suggest you call and check on the status of your In-Pooled unit prior to the weeks start date. You may wish to remove the days that are not pre-booked to use yourself. Please remember that in-pooled units ‘weeks may be rented to another owner at the Owner Bonus Time rate if still available 14 days or less prior to the weeks check-in date. Ultimately it is the owner’s responsibility to check on their rental status.

            You may withdraw your In-Pool Rental Agreement 14 days prior to the check-in date if there are not any reservations scheduled. This would allow you to place the week in the Internal Bank/Release Program and exchange your usage dates.  Reservations can be cancelled at any time prior to the check-in date. Barefoot Resort cannot guarantee a rental client will not cancel their reservation.  At Barefoot Resort all reservations must paid 100% in advance.  If cancelled more than 14 days prior to the reservation start date, all funds will be refunded except one night.  If cancelled 14 day or less from the start date, 100% of the funds will be forfeited.  Owner will receive 65% of the total revenue received.  

             Many of the Vista Peak units have adjourning lockout units which can be rented separately. You may wish to retain one side of the unit and place only one portion of the unit in the In-Pool Rental Program. If your base unit and lockout are placed in the In-Pool Rental Program, we retain the right to rent them together or separately.

            After the month has ended, In-Pool Rental disbursements are calculated and checks are processed after the 20th of the month following a reservations check-out date.

            Sturgis Motorcycle Week Owners that wish to rent out their time should get their weeks into the In-Pool as soon as possible. The best time to place your Sturgis Motorcycle Week in the In-Pool Rental Program is a year in advance.

Giving Your Unit/Week as a Gift

             An owner may offer their unit/week to a friend or family member to use for a specific year. An owner may even rent out their unit/week themselves. If an owner rents out their unit, it is completely the owner’s business and the revenue has nothing to do with Barefoot Resort. Just be aware of the following:

  1. The owner must call and let Barefoot Resort know who will be using their usage time.
  2. The owner is still responsible for any damages in the unit above normal wear and tear.
  3. Your association dues only include 1 cleaning per week.  Additional cleaning is available for a fee.

 RCI Weeks Membership

RCI Traditional Week Exchange Program, 1-800-228-7777

 

When calling RCI have your RCI Membership number handy.  This number will look similar to this; 3660-_ _ _ _.  Know your unit/week, it will appear similar to this example; C12/30.

The annual membership fee is currently $89 and should be paid in advance.  Because in order to make future deposits and future exchange request, you must have membership fees paid forward.  RCI will offer 3, 4 or 5 year discount packages to members in paying in advance.

Annual Resort Maintenance fees must be paid prior to space banking with RCI.  Example; if banking a future years week that future years maintenance fee must be paid.

To maximize your weeks full trading power, bank it with RCI at least 12 to 24 months ahead.  You will lose some trading power if you bank 9 to 12 months ahead.  You will lose a bit more power if banking it 6 to 9 months ahead.  You will lose a bit more if banking it 3 to 6 months and you will have lost a lot of trading power if your banking only 2 weeks to 3 months ahead.  If less than 14 day before the week occurs it’s to late, RCI will not take the week for banking at that late time.

Once you bank your week into your RCI account, it will be good in your account for up to two years.  If a week is close to expiration then you may pay a small fee to extend the expiration date.  The fee will depend on the length of extension.  The RCI Membership number is 1-800-338-7777.  By calling first in the morning you will have the least wait time. 

Once you have decided to use your week you will need to give the RCI Vacation Counselor your resort options or the general area that you wish to travel.  Also you will need possible travel dates and the amount of people traveling with you.  RCI is based on availability so when you call them, have several options for desired resorts and dates.  Flexibility will increase your chances of getting what you want considerably.  When giving the RCI Vacation Counselor your request use the resort numbers provided in the RCI Directory.

If the desired vacation is not available have RCI put your request on a “search”.  This means that they will put you on a computerized list that regularly searches the requests against the newest banded weeks.  This means when the owner from the resort that you want to travel, banks their week, the RCI computer will pull up your name, a counselor will call you to offer that unit/week.  An ongoing search is more beneficial than “shopping” via occasional, phone calls.

RCI’s fee to search for an exchange requested by phone is $209, and if searching and booking online it is $199. 

If an owner is looking for RCI exchange availability for a specified resort they must call RCI. 1-800-338-7777 

Most Barefoot owners do receive calls from RCI Representatives requesting that the owner must bank their week if they are not going to use their time.  A Barefoot owner does not have to bank their week with RCI to come back to Barefoot Resort at a different time.  For example, if an owner wants to use a different week at the Barefoot Resort than what they own at the Barefoot Resort they need only do an Internal Exchange (see Internal Exchange Policies or Splitting Weeks Policies).

An owner can give their exchange week to a friend or family member.  However, you must purchase an RCI Guest Certificate along with the exchange fee.  These certificates are available by calling RCI toll free number. 

RCI Instant Exchanges are great.  Use this option for last minute travel.  Especially for weeks that trading power is low.  By making a request to travel within 45 days, all trading power is void and any available week can be traded for any valued week.

RCI Points Membership

Many Barefoot Owners have asked about the RCI Points Program, and many have decided to convert their traditional week to points.  But before jumping in to the RCI Points Program you’ll need to ask yourself some important questions.

  1. Do you frequently have trouble using a full week of exchange?
  2.  Do you rarely use your week at Barefoot, your home resort?
  3.  Do you travel more frequently and use shorter stays?

If you’ve answered yes to any or all of these questions, then you may be better served by the Points Program.

The annual Points membership fee is currently $124 and should be paid in advance.  Because in order to make future deposits and future exchange request, you must have membership fees paid forward.  RCI will offer 3, 4 or 5 year discount packages to members in paying in advance.

The RCI Points Program offers timeshare owners tremendous flexibility, but flexibility has a price.  In some cases it may be more costly to use the points program, but points owners have many more options than just exchanging a week for a week. 

To convert a traditional exchange week to points, contact the resort.  The cost for conversion will vary, and should you be interested in converting, you will need to consult with a sales associate.

RCI has assigned each unit/week a specific point value.  The point values vary according to season and size.  The allotted points that have been assigned to an upcoming week will automatically be banked into the RCI Points account each year on the members anniversary date. This means if an owner wants their week at Barefoot and not the points, the owner must call RCI Points prior to the RCI anniversary date and claim the unit/week to stay at Barefoot.

Each year the allotted points will automatically drop into the RCI Points account.  The points will accumulate in your account, however, they will expire after two years.  If banked points near expiration, a small fee may be paid to extend the expiration date.  If you are trying to accumulate a large amount of points for a big vacation, more points may be gained by pulling points from a future year, (as long as the future years Maintenance Fee has been paid).  To gain even more points, each year a point’s member has the right to purchase up to 50% of the points owned at .02 cents per point.

Accumulated points may be used basically four different ways.

 Use points to come to Barefoot Resort and stay as little as one night.

  1. There are approximately 900 RCI Points Resorts that may also be booked to stay as little as one night.
  2. There are approximately 3,000 RCI Resort that remain full week resorts and yes, points may be used to stay at these resorts as well, but the stay must be for a whole week.  A huge benefit of points is if banking a week into any of the full week resorts, 45 days or less prior to the date of arrival, only 9,000 points will be assessed.
  3. The Partnership Program.  Points Owners may use their points for stays in hotels, reserve car rentals, take cruises, trade for airline tickets, and even purchase golf passes, Disney Park Hopper Passes, helicopter rides, water slide park passes and much more.  With points the owner has overwhelming flexibility.

The inventory that is available to purchase with points is posted on the RCI Points web site.  This site is only accessible to point’s members with a login and password.  The vacation inventory that is available to a points owner changes daily and instantaneous.  Point’s members may make transactions over the web with their points account.  Point’s members may also call the RCI Points Exchange line to ask questions and make transactions.

The various Points “phone requested” transaction fees that will apply - range from $49 to $259.  And if processing online a $10 per transaction discounted will be honored. .

BONUS:  If an owner owns a non-points week at a non-point RCI Resort and also owns a point’s week at Barefoot, the owner may bank the non-point week for an average of points.  This is a huge advantage for members that would like to have the best of both worlds.  Owners have a full week to exchange when it suits their needs, and may use points to rent cares, hotel rooms, entertainment, and much more.
